Job Description Summary

As a Office Coordinator working for Taylor Morrison, you will assist various members of the Portland division leadership team including the Sales and Marketing Director, the Construction Director and Contracts & Closing Coordinator with the analysis and reporting of sales and marketing analytics, facilitating payments and reporting for construction related invoices, Division office supply management, and engage with internal and external customers. This position requires a highly organized, self-motivated, take-charge individual who is interested in learning about the variety of disciplines throughout our business and providing support and value in each endeavor.

What Youll Do

  • Serve as the Division People Services Liaison and perform duties as assigned.
  • Facilitate new hire orientations including equipment set up and employee/benefit information coordination.
  • Assist the Sales and Marketing Director and the Contracts and Closing Coordinator with sales rallies, sales training event coordination, and backlog report management.
  • Generate sales and marketing analytic reports and assessments.
  • Assist the Marketing Associate with digital projects related to the communities marketing and events.
  • Work in conjunction with the Division President, Sales and Marketing Director and Vice President Finance to provide reporting related to customer management including construction and mortgage progress summaries.
  • Facilitate electronic payment of construction related invoices as requested.
  • Answer Division office phone calls to direct internal and external customers to the correct party.
  • Manage inventory and ordering of Division and sales office supply needs.
  • Assist in the coordination of all company meetings or other Division events.
  • Assist the Customer Service Coordinator with special projects as needed.
  • Perform other duties as assigned

  • Some customer service or retail experience working in a customer-facing role preferred
  • Ability to create effective relationships, collaborate internally and externally at all organizational levels.
  • A self-starter with the ability to anticipate needs and act ahead of direct guidance in a fast-paced environment.
  • A problem solver - eager to optimize projects and processes for overall business operational efficiency.
  • Organized and detail oriented, with proven project and time management skills and the ability to handle multiple projects at once.
  • Approachable and can maintain a cool and focused persona under pressure, within short time constraints, and in relatively ambiguous and complex situations.

FLSA Status: Non-Exempt

This position is considered a non-exempt position for purposes of wage-hour law, which means that you will be required to keep a time record and will be eligible for overtime pay.

  • Report to Division Office daily and adhere to schedule
  • Ability to access, input, and retrieve information from a computer and/or electronic device
  • Ability to have face to face conversations with customers, co-workers and higher level manager
  • Ability to sit or stand for long periods of time and move around work environment as needed
  • Ability to operate a motor vehicle if applicable
  • Comply with company policies and procedure

Physical Demands:

  • Must be able to able to remain in a stationary position up to 50% of the time
  • The ability to frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds
